Manage Users: How-To Guide
Add, edit, and remove access to your Freight Club account — instantly, and all in one place.
What is Manage Users?
Previously, adding or removing a user on your Freight Club account meant submitting a request and waiting on our team to make the change. Now, Account Admins can manage access and permissions for everyone on their account instantly, right from the platform. No request needed.
Where to Find It
If you're the parent user (Admin) on your Freight Club account, click Manage Users under the Account section in the side panel.
The Manage Users screen lists everyone with access to your account. From here you can invite new users, adjust permissions, or revoke access — all in one place.

Inviting a New User
- Enter the new user's email address in the invite bar at the top of the Manage Users screen.
- Choose a starting permission preset — Finance User, Full Account User, or Logistics User. Click Review & edit to fine-tune individual permissions first if you'd like.
- Click Send invite. Your team member receives an email with a secure link and a magic code.
- Once they accept and log in, they move from your pending invitations to your active users list.
Invitations expire after 48 hours. If an invite expires or doesn't arrive, you can correct the address if needed and resend it from the same screen — a fresh 48-hour window and new code are issued.

Setting Permissions
Every user starts from one of three presets:
- Full Account User — broad access across quoting, booking, orders, invoicing, and reporting.
- Logistics User — built for day-to-day shipping tasks like quoting, booking, tracking, and claims.
- Finance User — built around the financial side of the account: invoices, reporting, overages, and claims.
Presets are just a starting point. You can turn individual permissions on or off for any user to match exactly what they need — and you can update any active user's permissions at any time, with no need to remove and re-invite them. Changes take effect the next time the user loads the platform.

Removing Access
You can revoke a user's access at any time from the Actions column. Revoking access takes effect immediately — the user is logged out on the spot and can no longer sign in. Nothing they've worked on is affected: orders, invoices, and account history stay exactly as they were.
Pending invitations can also be revoked before they're accepted, which immediately invalidates the magic code. And if you ever need to bring someone back, just send a new invite to the same email address.
Revoking a pending invitation cancels it and invalidates its code immediately.
Frequently Asked Questions
Do I need to contact Freight Club to add or remove a user?
No. Admins can add, edit, or remove users directly from Manage Users, with changes taking effect right away.
Who can access Manage Users?
Only the parent (Admin) user on the account. If you're not seeing this option in your side panel, you likely have a different permission level and should reach out to your account's Admin.
What happens if an invited user doesn't accept in time?
The invite expires after 48 hours. Just resend it and a fresh 48-hour window (and new code) will be issued.
Can I resend an invite if someone mistypes their email or doesn't get it?
Yes. If delivery fails or the invite expires, you can correct the address if needed and resend from the same screen.
What happens when I revoke a user's access?
The user is logged out immediately and can no longer sign in. Nothing they've worked on is affected — orders, invoices, and account history stay exactly as they were.
Can I re-invite someone after revoking their access?
Yes, at any time. Just send a new invite to the same email address.
Will a user know their permissions changed?
Permission updates take effect the next time they load the platform, but no separate notification is sent. If a change affects what they can do day to day, it's worth giving them a heads-up directly.
